Accounts, roles, and plans

Your personal account is your sign-in. An organisation holds sites, members, and settings. A billing account can cover several organisations, which share its site allowance and user capacity. Selecting an organisation changes your working scope; it does not change billing ownership. You can belong to more than one organisation, and your role can differ between them. Check the organisation name before you change data.

User typeNormal dashboard access
ViewerRead accessible sites and monitoring results. Read messages and your own account audit records. Read reports when the plan and role allow them. Manage your own profile and sign-in. A viewer cannot add, edit or delete sites, manage site keys, or run re-checks. A member who has no role is treated as a viewer. Older screens may call this role User.
Site managerEverything a viewer can do, and run the sites of the organisation: add sites, edit sites (including their SLA settings), delete sites, create, rotate, rename, revoke and share site keys on the Connector keys page, run Re-check on sites, declare PHP, web server and database versions, mark known vulnerability matches as not affected. Report permissions normally also allow PDF export and report notes. A site manager cannot manage members, organisation settings or billing.
Organisation adminEverything a site manager can do, and manage that organisation, its invitations and member roles. Open billing when you can read it for that organisation. Issue reports and change report branding when entitled. Read that organisation's audit records.
Organisation ownerEvery organisation has one owner: the account that created it, unless ownership was transferred. The owner is also an administrator. Other administrators cannot demote, remove or revoke the owner, and only the owner can delete the organisation or transfer ownership. The recorded owner who still administers the organisation that holds the billing account can create organisations under it. An invitation as an administrator does not transfer ownership or let the invitee select that billing account.

An overdue, unpaid or paused Agency or Enterprise subscription can retain account access while reports, submissions and other plan features are unavailable. Keeping account access does not restore those features or approve a site.

A role does not give access to an organisation that you have not joined. An organisation administrator does not control another member's global password or account activation. Permissions can be changed for a deployment, so use the actions the service permits. A button or a saved link does not override a server refusal.

Plan boundaries

For an established subscription, use Billing → Plans when you can open Billing, to review its offered prices, currencies, trial terms, site allowance, and included features. The current dashboard still uses the existing package-plan screens. Read the setup limits below before relying on a purchase or activation control.

CapabilityPlan boundary when billing is enabled
Empty organisationsThere is no plan-based organisation-count limit. Creation requires the recorded owner to administer the billing account. Creating another organisation does not add a site allowance or start a charge.
Shared site allowanceOrganisations under the same billing account share its allowance. PAYG has one free site per billing account, including its covered organisations. Agency has no free site: its existing AUD 249/month or AUD 2,490/year package covers up to 50 sites and requires an active paid subscription from the first site. Enterprise has no general free-site allowance.
People and invitationsEvery billing account has a maximum of 50 distinct active people, including unique pending invitation reservations, on every plan. Membership in several organisations under that account counts once.
Site creation and data submissionsThe site's billing entitlement controls site capacity and how often data can be sent. Overdue, unpaid, or paused subscriptions can stop submissions.
Security patching SLA and Maintenance update SLARequire baseline access for that site and are set together on a site. Follow the availability message on the site.
Monthly reportsRequires baseline access and the report permission. Legacy Free does not include reports. Inactive subscriptions or missing site approval can pause access.
Own report header and footerExplicit Agency and Enterprise entitlement. PAYG and retained Solo and Studio access use the Sentinel header.
PDF exportAlso requires an export permission and an enabled PDF service.
SupportEvery plan includes the support portal. Target reply times are up to 3 business days on Free and up to 1 business day on Solo and Studio. Agency and Enterprise get priority support, with replies in up to 4 business hours. Business hours are Australian business hours, Monday to Friday. A request marked Resolved closes automatically seven days (168 hours) later unless you reply; a reply reopens it, and resolving it again starts a fresh seven days. Requests waiting on you or on a production deployment don't close on their own. A closed request can't take new replies; open a related request instead.

Billing navigation appears when billing is switched on and you can read billing for the selected organisation. On an older billing account, that is an organisation administrator. On a first-site-free account, that is the recorded owner who still administers the organisation that holds the billing account. An invited administrator of a first-site-free account cannot read billing. An organisation paid for by another organisation's subscription has no billing pages for anyone in it, including its administrators. Ordinary members do not see billing navigation. While Sentinel is still checking access, Subscription and billing and Upgrade (or Plans) can stay visible for an administrator. They are hidden once the check says this person cannot read billing. When that person opens Billing directly, the page shows Billing is managed by the account owner, with the text "You can use the rest of the dashboard. Billing for this organisation is not available to you." Overview, Plans, payment methods and invoices stay closed. If the check fails, those links are hidden and Billing shows Billing could not be loaded with Try again. That is a failed check, separate from the account-owner notice. The server still refuses the billing routes. The 50-person limit and billing ownership checks also apply when billing is disabled. Billing-disabled installations retain site creation, restoration and moves without provider billing checks. A hidden or visible billing link does not change server permissions.

Baseline access covers monthly reports, retained history, security patching SLA, hourly Connector submissions and API refresh on demand. PDF export, report notes and issuing still require their own role permissions. PAYG includes this access for its verified and approved free first site without a paid subscription when the PAYG flow is enabled. New PAYG setup is available where the operator has enabled it: in a test environment, or for live sales once live PAYG is switched on. A plan label or saved site does not establish approval. PAYG does not include Agency branding or priority support, or access to other TrueCMS products.

Current account setup limits

The server supports shared billing ownership and unlimited empty organisations. The dashboard does not yet provide the new billing-account selector or complete shared billing dashboard. Established accounts keep their existing billing grouping and configured legacy site allowance; they are not automatically combined or moved to PAYG. The new Agency paid-from-first-site rule does not itself migrate a legacy account.

New PAYG and Agency card setup and site approval are available where the operator has enabled them, in a test environment or, once live PAYG is switched on, for real purchases. A displayed list price does not mean a plan can be purchased: registration lists the offers the server currently permits. The test flow supports monthly USD or AUD PAYG, with one permanently free site per billing account and each additional approved site at the configured monthly list price for its currency. The pricing page shows the current list prices; the quote you confirm states the amount charged, before applicable adjustments. EUR and annual PAYG list prices are shown for comparison but cannot yet be set up in the app. Agency is offered at its configured package price in AUD, USD or EUR, monthly or annually. The server offers only configured combinations. It needs a paid subscription from the first site and has no free-site allowance.

New-plan/currency changes, transfers between billing accounts, active restoration, and full subscription cancellation or resumption are not available through this new purchase flow. Existing subscriptions retain their established controls. Contact Support when the requested action is unavailable.

An owner must still administer the billing account's holding organisation and every organisation whose sites they approve. An invitation as an administrator, site manager or reader does not give authority to bind another payer or create another free allowance. A site saved as inactive does not start monitoring or authorise a payment. Older package checkout controls cannot bypass the new-account safeguards. If an action is unavailable, keep its message and contact Support.

If you own and administer several existing billing accounts, creating an organisation requires an explicit billing-account choice. The current dashboard has no chooser for this case; selecting another organisation in the top bar does not make that choice. Contact Support if the page asks you to select a billing account.
